OPEN TO PERMANENT STOCK WORKERS The Bureau of Vital Statistics is responsible for registering and certifying all birth, deaths, spontaneous and induced terminations of pregnancy in NYC. The bureau issues, analyzes and reports on 285,000 vital events each year. The bureau is a very large customer service operation, providing death certification services on a 24/7 basis, issuing more than 900,000 certified copies of birth and death records, and fulfilling hundreds of data requests annually. This position will be within the Health Department's innovative Center for Population Health Data Science (CPHDS). The CPHDS is working to strengthen citywide population health surveillance by better linking public health, healthcare, and social service data to fully characterize and improve the health of New Yorkers.
Our vision is for these data to be accessible, timely, equitable, meaningfully usable, and protected and being actively to protect and promote health and wellbeing of New Yorkers. Housed in the Center for Population Health Data Science, the Bureau of Vital Statistics (BVS) at the NYC Department of Health and Mental Hygiene registers, amends, processes, and analyzes all vital events (births, deaths, and spontaneous and induced terminations of pregnancy) in New York City while also issuing certified copies of certificates to the public. There are approximately 120,000 births and 52,000 deaths and about 1 million certified copies of birth and death certificates issued each year. As the Biospecimen Inventory Associate, you will be responsible conducting inventory activities for biorepository specimen long-term storage as well as shipment logistics from the central laboratory to the biorepository and from the biorepository to research partnerships.
**A day in the Life:**
+ Interact with the central laboratory to obtain necessary documentation regarding the shipment of biospecimens from the central laboratory to the biorepository long-term storage facility and submit the necessary documentation to ensure registration of samples at the biorepository long-term storage facility.
+ Follow up with the biorepository long-term storage facility on biospecimen storage and inventory following successful transfer of biospecimens, updating necessary inventory in the Laboratory Information Management System (LIMS) and central central lab database, identifying discrepancies, and resolving outstanding sample transfers.
+ Interface and coordinate with the biorepository teams on the logistics, transfer, and shipment of specimens for testing at third party laboratories or to research coordinators, updating materials in LIMS or other databases per study-specific, regulatory, or contractual requirements.
+ Prepare reports on inventory and shipments in conjunction with biorepository and/or project team.
+ Document and ensure the biospecimen integrity and chain of custody is maintained in compliance with biospecimen transport and shipment regulations and requirements and biorepository laboratory best practices.
+ Develop and/or contribute to study-specific and client specific work instructions.
+ Create, distribute, and present reports as required for study or departmental teams.

**Education**
+ Minimum of Associate's degree required, Bachelor's degree preferred in a scientific discipline or health-related field.
**Experience**
+ At least two years of experience in managing biospecimen shipping / logistics, preferably with a biorepository or clinical study team.
+ Experience working within or with a central laboratory and /or testing laboratory
+ Experience with a LIMS and other laboratory/clinical databases
+ Experience with biospecimen shipment regulations such as IATA certification

Job Summary
The Inventory & Purchasing Associate is responsible for Inventory Management, procurement of raw materials and supplies, and all customer orders from processing to final shipment of products to our customers.
Job Responsibilities
Procurement & Inventory Management:
Collaborate with all departments to determine upcoming projects to have supplies(inventory) on hand for those projects.
Monitor Inventory levels to avoid overstock or backorders.
Work closely with suppliers/vendors. Participate in the negotiation of prices, terms of agreement quality requirements, and delivery schedules.
Performs complex buying strategies to purchase and arrange timely deliveries of supplies and materials; expedites as needed and serves as a liaison between vendors and our team, getting prior approval for purchases in excess of established limits. Effectively manages supply programs to meet lead times, as well as delivery dates.
Procure and manage material to meet quality, delivery, inventory, and price targets (use ERP/Microsoft D365).
Participate in Inventory/Cycle Count as needed.
Update vendor prices in our system so our Controller can capture true COGS.
Negotiates prices, terms, and quality requirements; prepares requests for quotes and assists in the development of new supply sources; evaluates market conditions.
Identify and onboard any new suppliers, ensure project timelines are met, and mitigate any supply risks associated with the purchase orders.
Communicate with customers to resolve discrepant sales orders in a timely manner.
Performs value analysis to identify cost improvements.
Analyze consumption data and report to management on stock levels, issues, bottlenecks, etc.
Shipping:
Monitor customer's order via phone, email, fax, or website and enter into ERP system.
Examine and inspect containers, materials, and products to ensure that packing specifications are met. Execute and document quality inspections per Standard Operating Procedures.
Pick and pack orders for shipment, ensuring that the correct number and type of product is used.
Produce key performance indicators (weekly open order reports and monthly on-time shipping reports) to the leadership team.
Resolve any order-related issues to minimize occurrences of late shipments.
Receiving:
Troubleshoot any bottlenecks in the receiving process at both 40th and 44th street sites. Collaborate with suppliers, receiving personnel, and the finance department to improve efficiency with these processes.
Backup in performing receiving processes at both 40th and 44th Street locations.
Compliance with Procedures:
Maintain a clean, neat, and orderly work area.
Communicate and report any incidents, customer complaints, etc.
Provide technical support and training to other employees for cross-training.

This position involves the delivery of courteous and efficient service to patients, accurate documentation and verification of patient registration information, and professional and timely communications with physicians, medical staff, and administrators. * Provide patients with all required information regarding appointments and payment policies (e.g. medical records, parking, cash policies, anticipated charges, required ancillary services, cancellation policy).
* Intervene as liaison/advocate for patients, physicians, and staff in facilitating ease of care. Assist in identifying trouble spots and problem patterns in the provision of care.
* Maintain a working knowledge of medical symptoms, signs, and anatomical systems to identify and differentiate type and urgency of medical need.
* Maintain knowledge of insurance referral requirements to ensure access based on third party reimbursement criteria.
* Notify appropriate parties of the appointment time, referral criteria, insurance verification, and prior authorization requirements.
* Performs all above-mentioned tasks by paying attention to detail and providing excellent customer service skills with Patients, Physicians and other related members by following the Standard of Excellence and Accountability policy mandated by the University Of Miami Miller School Of Medicine.
